Running it, start to finish
- Write the situation in your own words, including what you might be getting wrong.
- Check section 1 and remove every inference from what you will say.
- Involve HR where formal action is possible.
What you get back
The output this produces, every time.
- Separates what you observed from what you inferred, and keeps the inferences out of the room.
- Asks whether you set the expectation clearly and in time before assigning the problem.
- Prepares specifically for the counter-complaint, which is where these conversations most often derail.
Getting better results
Where this usually goes wrong, and how to avoid it.
- Do section 1 honestly. Most first drafts are two-thirds inference. That is the ordinary state of things and it is the single most useful correction here.
- Answer section 2 before proceeding. If the expectation was never clearly stated, this is a different conversation and starting the planned one damages trust.
- Actually stop talking in section 5. The prepared questions are worthless if you continue through the answer. There is frequently a reason you do not know.
